Who we are

On a live site the registered data controller and, where required, the Data Protection Officer would be named here, along with the practice’s ICO registration number.

What we collect

  • Enquiry details — your name, phone number, email address and what you told us about your situation, from the forms on this site or over the phone.
  • Clinical records, if you become a patient — medical history, examination findings, radiographs and CBCT scans, photographs, treatment plans and correspondence.
  • Payment and finance information, handled by our payment provider and finance broker. We do not store card details.
  • Website data — this concept site loads no analytics and sets no tracking cookies. See the cookie policy.

Why we hold it, and on what basis

Enquiry details are held to answer your enquiry, on the basis of our legitimate interest in responding to someone who has contacted us. Clinical records are held to provide care, and because health data is a special category, on the additional basis of the provision of health treatment by a professional under a duty of confidentiality. Some records are kept because the law requires it.

How long we keep it

Enquiries that do not become appointments are deleted after twelve months. Adult dental records are retained for eleven years after the last treatment, and records for anyone treated as a child until their twenty-fifth birthday, in line with retention guidance for dental practices in Northern Ireland. Radiographs and scans are kept with the record.

Who we share it with

Your own dentist, where you were referred or where we are returning you for restorative work. Our laboratory, which is on the premises. A finance provider, if you apply for finance. Nobody else, and never for marketing. We do not sell data and we do not pass it to third parties for their own purposes.

Your rights

You can ask for a copy of what we hold, ask us to correct it, ask us to delete it where we are not required to keep it, object to processing, and ask us to restrict it while a dispute is resolved. We answer within one month. There is no charge unless a request is repetitive or excessive.

If you are not satisfied with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, and we would ask you to raise it with us first through the complaints procedure.

Forms on this site

On this concept build the forms transmit nothing at all — submitting one simply takes you to a thank-you page. On a live site, form submissions would be sent to the practice’s own mailbox over an encrypted connection, and the forms would continue to ask you not to include medical history, which belongs in a consultation rather than in a web form.
